(17)Community Insights
- Recommendations
Users of the Open Text web app have made several recommendations based on their experiences. The three most common recommendations are:
-
Stay true to document management standards before creating a system: Users recommend ensuring that the system adheres to established document management standards in order to maintain accuracy and efficiency.
-
Explore other options before choosing Documentum: While some users find Documentum to be a good repository for saving documents and data, they suggest considering other interfaces that may offer more efficient solutions.
-
Consider PLM tools as an alternative: Users suggest that Agile and Arena, among other PLM tools, may be better than Documentum for managing documents. However, if a PLM tool is not an option, Documentum is considered the best out-of-the-box tool available.
It is important to note that while some users recommend Documentum for its record management and documentation capabilities, others caution about high maintenance costs and the need for skilled labor. Additionally, users suggest negotiating pricing and packages, having experienced implementors and administrators, evaluating flexibility in accommodating changes, and considering long-term vision and investment. Some users even recommend using Documentum in specific browsers or replacing it with a more robust platform for web content management.

EMC Documentum - What's in it..
There are two instances of the Documentum:
1. One for the content management acting as Enterprise Content management across IT, where users store the documents, content for daily usage.
2. Another instance was used as a Web Content Management, where users create the site pages and publish the pages to the external corporate web site.
Multiple other content management systems got migrated to EMC Documentum because it solved the below business problems:
1. Security - Documentum provides tight security with granular level of maintaining the permissions on the content assets
2. Archival and Content Disposition: Content Disposal or archival is easy with Documentum
3. Records management: Legal and InfoSec documents maintenance is easy with Documentum using Records features.
4. Workflow management and Audit
- Records management: Compared to other content management systems, this provides a efficient and scalable solution. It gives lot of flexibility in managing the content as Records or Legal holds.
- Workflow system has external plugins to connect with FAX, Mail, Database and FTP servers etc. which gives an option to integrate with any system with documentum.
- Creation of websites and maintenance is easy. Content authors can create the pages with effective mechanism.
- Dependency on the java on browser for documentum clients is sometimes painful
- Documentation and support site search is not user friendly
This product is very scalable compare to others.
Not suitable for small companies because of cost and number of installations.

Technical - To supportdocumentum environment , Systems, and custom applications developed on top of documentum
Operational: To support documentum platform, installations, upgrades, patches, webservers, application servers, networking acls
Other than the above, support is required from general teams like storage, networking, Database admin, Single sign on etc
- All the supporting documents related to Insurance are stored. Workflow is triggered when the contract gets started and finishes when the contract is finalized.
- Records management and Legal hold for Legal department. Implemented eDiscovery module to provide all the documents to legal when a request comes.
- IT department uses the Documentum system to store their personal, project related documents. Developed a custom client tool to provide easy access for all the employees based on the business unit.
- Migrations of pretty old Documentum systems to a new operating system and changing the database is quite a bit challenging. We worked on one project where we need to migrate the 20-year-old system to the new version and migrate it from Unix to windows, change DB from Oracle to SQL server. We have to build a process and tool to achieve this in phases
- Mobility - Want to develop a mobile application for Documentum which will allow people to work on BPM, D2 application. One interface for all customer requirements
